Privacy Policy
Effective October 13, 2026 · Version 1.0
How we handle information in the dojo’s membership, scheduling and payment portal.
1. Who we are
This policy covers the Doomsday Defense Dojo portal at members.doomsdaydefensedojo.com. Doomsday Defense Dojo manages its members and services through this portal. NOVA is the software platform built by Novexa; Novexa and the service providers described below support operation of the portal. This policy does not replace the separate privacy policies of Google, Stripe or the dojo’s main website.
2. Information we collect
We collect information you provide and records created when you use the portal, including:
- Account-holder name, email, household check-in phone number and account/profile details.
- Participant names, dates of birth, household relationships, training experience, and optional training notes, injuries or accommodations you choose to disclose.
- Emergency-contact details, enrollment and custom-form responses, and required agreement text, versions and acceptance timestamps.
- Membership status, attendance, bookings, event registrations, staff notes and training progress where recorded by the dojo.
- Stripe customer identifiers, payment amounts, payment status and billing history. Stripe processes card details; the portal does not store full card numbers or card security codes.
- Account sign-in and administrative audit records, and technical information needed to operate and protect the service.
Existing client, membership and payment-history records may be imported from the dojo’s Acuity records and existing Stripe account to maintain continuity of service.
3. How we use information
We use information to manage accounts and households, administer memberships, check participants in, schedule classes and private sessions, manage payments, record agreements, support participant safety, send account and service messages, answer requests, and protect the portal. Provide only information relevant to these purposes; training notes are not a substitute for professional medical advice.
5. Children and household records
A parent, legal guardian or otherwise authorized adult must provide and manage a child’s enrollment information. The portal is not intended for children under 13 to create independent accounts or submit information themselves. Contact the dojo if a child’s information was submitted without appropriate authorization so it can be reviewed.
6. Security and retention
We use account authentication and access controls to restrict private records. No internet service can guarantee absolute security. Keep your password private and notify the dojo of suspected unauthorized access.
We retain records while needed to provide services and for legitimate accounting, safety, dispute-resolution and legal obligations. Archiving a record does not erase its history. Deletion requests are reviewed against those obligations; some records and backups may need to be retained. Service providers may process information outside your state or country under their applicable safeguards.
7. Your choices and requests
You can update available profile fields in the portal and contact the dojo to request access, corrections or deletion of personal information, or to ask about rights available under applicable law. We may need to verify your identity and authority over household records. Payment-method changes are handled securely through Stripe where billing management is available. Necessary account, safety and billing messages may still be sent while you use the service.
9. Contact and policy updates
For privacy questions or requests, contact Doomsday Defense Dojo using the contact options on the dojo’s official website. We will post updates here with a revised date and provide additional notice when required by law.
